Insurance arrangements need their own review, including the party arranging cover and the offered documents. A delivery rule can allocate particular responsibilities without resolving every issue in the purchase or service agreement. Record exclusions, additional charges and the conditions attached to the quotation. Maintain a traceable shipment handover

Agree the shipment references and records that connect each packed piece to the purchase and packing list. Keep the manufacturing country separate from the collection location; cargo collected in one country may have been manufactured elsewhere.

Required dates

Separate the goods-ready date, latest collection date and required arrival date. Identify which dates are confirmed and which depend on fabrication, inspection release or document approval. Include the receiving site's working hours and any fixed project window. Ask whether the proposed transit period starts at collection, departure or another milestone, and how intermediate storage is treated. An equipment production estimate and a freight transit estimate describe different stages; neither should be presented as a confirmed door-to-door delivery commitment without reviewing the complete sequence.

Handling and customs-document scope

List loading, unloading, lifting, storage, insurance and document services individually, with the party responsible for each. Identify the commercial invoice, packing list and project-specific records available for review, while leaving customs classification and clearance to the authorized parties. Ask which terminal charges, inspection costs or local services are included and which remain provisional. Document support does not necessarily include acting as importer, exporter or customs representative. Adjustment, repair and calibration are distinct activities that may be combined within an agreed service scope. Onsite and laboratory services have different logistics and capabilities. Identify the model, ranges, fault description and required traceability or accreditation for the assignment.

Engineering and commissioning: Engineering services produce defined design or technical deliverables. Commissioning services support verification and preparation of an installed system for its intended operation within the project's agreed responsibilities. Design, installation support, testing and operator handover should be identified separately. Drawings, interfaces, schedule and acceptance records define the service boundaries.
